Subject: CCOS Retreat Weekend Final Info for Group Leaders
Importance: High

Hello All...

I wanted to reach out to all of our Pack, Troop and Crew leaders regarding our Annual Scout Retreat this Weekend to give you all some final information and details. We have quite a nice size group set for this weekend.. close to 20 pack/ troops and crew comprising almost 200 scouts and leaders!

Here is what I have to date regarding Packs/ Troops/ Crews, numbers and hold a sites. If there is anyone MISSING or you have ADDITIONS or DELETIONS please let me know ASAP. We plan to turn in FINAL MEAL COUNTS tomorrow. If there are deletions after tomorrow you will still be financially responsible for it. Once we order the food - we have to pay for it!

Those requesting Sites ...
Troop 330 (17 people)- 4 sites
Troop 73 (31 people) - 1 site
Troop 139 (17 people ) - 1 site
Troop 65 (6 people) - 1 site
Troop 5 (17 people) - 1 site
Troop 6 (11 people) - 1 site
Troop 347 (5 people) - 1 site
Troop 379 (10 people) - 1 site
Troop 138 (15 people) - 2 sites
Crew 59 (9 people) - 1 site
Pack 5 (waiting on #'s) - 1 site
Pack 99 (5 people) - 1 site
Pack 91 (6 people) - 1 site
Pack 3 (7 people) - 1 site
Pack 345 (waiting on #'s) - 1 site

Those coming for the day only on Saturday - no sites needed

Crew 26 - 5 people

Pack 228/ T 350/ T 321 - 12 people

Any Group that has not paid for hold a sites or for the retreat (which there are quite a few ) we would expect payment on Friday or Saturday upon check in. Checks can be made payable to "CCOS" or "Archdiocese of Newark." For my groups coming in on Saturday.. PLEASE, PLEASE, PLEASE do not have every parent give us a check. YOU should collect them that morning then and turn them into us at one shot.

Upon arrival on Friday or Saturday please have someone "check in" at the table under the large wooden pavilion. Here you will get a packet with last minute information, schedules, site map for camp site assignments and more.

For Boy Scouts/ Crews arrival is between 6pm -9pm on Friday. We ask all groups to be "in house" and set up by 9pm so we can start at 9:30pm with our evening program.

For Packs arrival on Saturday is 10:45am to 11:15am. LEADERS OF PACKS should arrive NO LATER than 10:30am so they can start to chaperone their cub scouts once they arrive. We ask all Cubs to be "in house" by 11:15am so we can start their program on time.

For Troops/ Crews coming for Saturday only you should arrive for check in no later than 9am so you can be a part of the Morning Prayer and the Morning Sessions.

I have attached the Final Schedule and also the Retreat Regulations for the weekend. If you need directions please follow this link to our website and you can get them there. http://www.newarkoym.com/annual-retreat-weekend

I know a scout is always prepared...but please make sure your scouts ARE honestly prepared for the weather. It is supposed DROP SIGNIFICANTLY temperature wise this weekend after a cold front comes thru. We are talking 50's during the day.. and 30's at night! Add to it we are out in the open with the wind coming thru .. its gonna be cold! Also.. as has been done in the past we recommend scouts bring a pop up chair of some sorts to sit in for the retreat portion of the day on Saturday and for mass on Saturday evening.

In regards to food we are once again having assorted sub sandwiches (turkey/ cheese, Italian) for lunch and chicken fingers for dinner. Again breakfast is on your own and would be a meal on Friday night. We will have a snack for everyone Friday night.

Finally I ask that you pray not only for no rain (there is a chance on Friday afternoon and Saturday afternoon) I would ask you to keep all those helping with the weekend in your prayers. Many hours go in "behind the scenes" from the members of the CCOS in everything from securing food to securing lights, first aid services and the overall program.

Should you have any questions please do not hesitate to email, call or even text me. I look forward to seeing you all next weekend!

Peace,

Rich Donovan
