[SMCARA] Only 5 Weeks Before Our SMCARA Tailgate Fest

All SMCARA Members,

The Tailgate Fest is on October 14th and will be at the Bingo Hall of the Hollywood Volunteer Fire Department. As your TF Chairman, I thank all club members who stepped up (VOLUNTEER) to help Coordinators with their KEY POSITIONS and setup/cleanup teams . All key positions are now covered by our members. Please look over the list below and decide which position(s) you could still assist us with:

There are only a few indoor tables left for the Tailgate fest. There are plenty of tailgating spots in the parking area near the Bingo Hall. To reserve your table or tailgate spot send your payment to our treasurer Brad KC3RWE via check or PayPal.

On Thursday 8/24/2023 during our Zoom meeting at 7:00 PM, we discussed necessary planning for our annual Tailgate Fest(TF). During the meeting,  we agreed to allocate up to $400 for purchasing supplies, signage and door prizes. We voted unanimously to approve our TF budget. We only plan to spend what we need to best serve our club and the Amateur Radio community during this annual TF event. 

ALL KEY POSITIONS HAVE ALREADY BEEN FILLED: (THANK YOU VOLUNTEERS!)
We could use extra help at the end of the TF i.e. **Cleanup Team: remove trash and leftover "junk" and debris.

Again the KEY Positions are:

Event Chairperson: Single point of contact for coordinators and overall organizer.

Hospitality Coordinator – Responsible for “Welcome Table” & Setup Crew Coffee/Donuts. Assists in coordination for refreshments/food for patrons

Vendor/Seller Coordinator – Responsible for securing a commitment & payment from retail vendors and individual sellers for inside tables or outside spaces. Organize work party the day before the Tailgate Fest to layout tables and chairs to accommodate our vendors and individual sellers. Work with our Hospitality Coordinator Rachel KF7AWC and Treasurer Brad KC3RWE to keep track of payments.

FCC License Testing Coordinator – Responsible for on-site testing (VE’s, Test Materials, and Test Room)
Thank you Rob N2OMC for recruiting the Charles County Amateur Radio Club VE Team

Master of Ceremonies (MC) – Responsible for making periodic announcements and drawing results

Talk-In Coordinator – Responsible for setting up portable base station to provide out-of-town patrons with directions to the venue. Should be very familiar with the area and able to clearly guide persons to the event. Will determine talk-in frequency/repeater to use based on coverage area.

Safety Coordinator – Develop and maintain Emergency Plan and responsible for First Aid Station. Contact Gene N3NO to go over available facilities and restrictions.

Prize/Raffle Coordinator – Responsible for soliciting donations and selecting/obtaining raffle prizes. Also determines when raffles are to be held, and if winner needs to be present to win. Work with our Treasurer Brad KC3RWE.

Parking & Signage Coordinators – Responsible for ensuring orderly parking of patrons and posting of signs on the event grounds (Entry/Exit/Indoor-Outdoor Vendor Spaces/Restrooms) Organize work party the morning of the Tailgate Fest to place signs, cones and safety tape. Ensure all signs are removed and returned to the Museum at the end of the TF.
