[QSL-Managers] need help

Need help!

I work VP6DI year ago and sent QSL card with call YO3KWJ
I sent it toghether with my personal call too in same envelope. After
month I
received two QSLs one for me and one with YO3KJW on.
Knowing that trafic in replying of QSLs is high I wait and resend a new
letter
with QSL with YO3KJW call on  and an other card from YO3KWJ
Now I received card back with  that I am "not in log."
Now I have dilema
Once I received card like YO3KJW the QSL manager make note that a QSL
was sent
out
Now when I recall for right call he could be think that a real call was
like
YO3KJW not like my call YO3KWJ.
Where is mistake?
This year during VP6DIA operation I was out of country and mised
opportunity to
work like a new one.
My self work like QSL manager for few calls and find in computer several
time
when the call is not matchig with any one from file, but after check
around
date/time I can find a small difference. For this I wait several month
and if
any claime not come from call in file I conform the QSO
In my case is typing eror. Two leters are pushed in wrong order and it
is clear
for me
How to explain it to QSL Manager of VP6DI!?
