[QSL-Managers] SASE or SASE not...

John,
After reading your message about US to US (historic ship) I thought I would
bounce it off my friend who handles the QSLs for NJ2BB (Battleship New
Jersey). It sounds like she has a similar situation, although she is
"floating" the donations to cover the extra expenses. Her idea about
educating the non SASE folks sounds good to me. She also noted that her QSL
cards were donated so that expense is a wash for them.

As QSL manager for NJ2BB we too receive some cards without SASE.  Some
of those also send "a donation" which is used to pay for the envelope &
postage.  Any money left over goes into a kitty.  With the extra money
in the kitty, we purchased a box of envelopes and some extra postage.

At the present time, when we receive a QSL without an SASE, we use these
supplies to send a QSL to the person.  I am thinking of including a
small note in these QSLs with a reminder that in the future, when
requesting a QSL card from anyone they should include an SASE as a
courtesy (or something worded like that).

Our group has no funds of it's own.  Our QSL cards were printed as a
donation from a local company and the donations from QSLs received has
been enough to cover our other QSL expenses.  During our first year of
operation, we received and answered close to 800 QSL cards and of that
number I would say about 5% or less came with no SASE.

This is an unusual situation since the manager and the station managed is in
the USA. There are no US to US QSL bureaus.
So, my feeling is that a good manager understands that he is going to have
to go into his own pocket once in awhile... If he can't handle the expense,
then he should look for alternatives to reducing expenses... like soliciting
someone (like maybe a local club) to pay for/sponsor the QSL card
printing... or maybe contribute towards them. In any case, as long as it
doesn't get out of hand, I would make every effort to answer the cards, even
if they don't include an SASE, but adding a friendly note explaining the
"situation" might be a good thing in the long run.
Just my 2 cents worth...  Remember, we're in this for the emotional reward!
