Hey Phil, This may not sound great for some people but here is a suggestion for the meeting.

The pavilion at Watkins Park in town is covered. I think it would have enough seating for 40-50 people and it's open so the overflow could bring their own chairs or just stand. The last time I used it the net cost was zero (you put is a deposit then get it back). This time of year it's still light until 8:20 or so - they could have a no-nonsense meeting and be done in 1 hour.
