One of them is volunteer manpower. While many experienced volunteers have already committed to the event, this year's Fair promises much more activity, and therefore the need for extra help. I am distributing this information to both the PCARES/RACES group and and ARC2 group in the hope of recruiting some extra communications volunteers. Here's a basic snapshot of the event with the major activities: Fair days and hours: August 14 through 17, 3:00pm to 11:00pm daily (public hours) Volunteer/staff hours: 2:00pm to 12:00am daily Fireworks: Friday at approximately 9:20pm Four Mile Superhero Run and Family Walk: Saturday, 8:30am (Volunteers are needed between 7:00am and 11:00am specifically for this event, as well as the Fair later in the day!) Car Show: Friday and Sunday For those of you that have volunteered in past years, I am sure you will find this year's Fair to be larger with more activities and attractions. However, with more and bigger attractions comes the need for better coordination, security and communications. Volunteers (hams) for the event should know a few things in order to better prepare: 1. Due to security and parking concerns, it will not be easy to accommodate "spontaneous volunteers". Identification, access, and parking assignments are all things that will be handled BEFORE the first day of the Fair; therefore, it is requested that if you plan on volunteering for any period of time during the Fair to please RSVP to me (contact information below) so that we know what day/time you are arriving and can plan ahead for the access, security and parking concerns. 2. The Fair is located at Garret Mountain Reservation in Woodland Park, NJ, a two-minute ride off of I-80. While you should dress appropriately for the weather, sunscreen and insect repellant are also a great idea. You will most likely be inside the Park. 3. Hams should be equipped with a 440 handheld/portable radio with the Fair frequencies programmed into it ahead of time. In the alternative, be ready and able to program frequencies on-the-go. A fully charged battery is a must, and a spare battery also a good idea. Bring a charger; there will be places to charge radios during down time. If you have a headset, that's also a great idea, but PLEASE NO VOX. You will most likely be operating portable, IE, on foot, not close to a vehicle, building or power source. You will most likely be operating on the Tactical net, which will be controlled by the Net Control operator (NCS) at the Command Post. As such, you should be familiar with tactical, on-the-go radio communications procedures and etiquette. The use of tactical vs formal call signs is common at this event. 4. Your main assignment will most likely be handling radio communications between the Command Post and the Supervisor of the Division you are assigned to. You will essentially be a shadow operator, which means wherever your assigned supervisor goes, you go, and you handle the communications as needed for the Supervisor. The Supervisor will have separate public safety-radio communications between him/her and the volunteers within the Division. Division communications will be conducted on a low-power simplex channel, hence the need for hams on the wide-area repeater relaying the information and instructions. 5. If after reading this you would like to volunteer or simply learn more info, please email me at mhoeft at optonline.net. Those that have already indicated they are volunteering do not need to contact me again. 6. All confirmed volunteers will receive emailed instructions a few days before the 14th. Please look out for that email. It will contain several important pieces of information, including a frequency list, Command Post contact information, a map, and most importantly, the credential to bring your vehicle into the Park without paying the entrance fee. It will also indicate specifically where you should park, dependent on which day(s) you are volunteering (the parking plan changes daily). This morning started sadly with the news of the passing of Mrs. Charlene Gungil's sister Caroline and the passing of our Troop's former Committee Chair, Bernie DeMarinis. Caroline had been living with Charlene and her family for several years during her struggle to beat cancer. She was always a friendly and inspiring person who cooked wonderful food for her family and friends and always presented it with a smile. Bernie worked tirelessly as the Troop's Committee Chair, the Weboree, Venture Crew 139 and Scouting's Order of the Arrow. He was also active in the Bergenfield Lions Club, St. John's Religious Education and other activities where he could make a positive difference in the lives of others. They will be sorely missed. Please keep them and their families in your prayers. Arrangements for Caroline will be deferred until early September in order to allow for the whole family to get together. You will receive raffle tickets according to the prize level you donate. We also added a Pasta Dinner to the event. Chef Gordon and his crew will prepare the dinner. It will include: Pasta with Butter, Pasta with Marinara, Salad and Soda/Water. Scouts are free to attend and help at the event. The cost will be $15 per person, $10 for children 10 and under. Also, I gave Sammy some index cards that have pictures on them of Cleaning/Organizing supplies. Over the last five or so years, these two ladies and Mrs. Rose Marie Rossmann have raised most of the money that has allowed this Troop to grow and GO!. We need to continue that momentum through the transfer of knowledge, skill , enthusiasm and energy. Please consider that as we progress into the fall. Yours in Scouting! J. Just a side note, I am only running the event this year, next year it will go back to the Troop parents. Yes, I know Justin is a Badge Counselor and not part of the Troop, but I am doing this for YOUR sons who deserve every bit of the profit that comes out of it. In the past we had between 250 and 300 prizes, not so this year...right now we have 100 prizes. We can still have a successful fundraiser if we can get the amount of prizes to 200. If anyone has new/unused items that they want to donate toward the Tricky Tray I will wrap them and include your family name. Bring them in at any Tuesday meeting and give them to Justin Miller. Each level has a retail value: Level 1: $25 to $49 Level 2: $50 to $99 Level 3: Over $100 There are no mega or grand prizes as of now. That would be a prize valued at above $300. You will receive raffle tickets according to the prize level you donate. We also added a Pasta Dinner to the event. Chef Gordon and his crew will prepare the dinner. It will include: Pasta with Butter, Pasta with Marinara, Salad and Soda/Water. Scouts are free to attend and help at the event. The cost will be $15 per person, $10 for children 10 and under. Also, I gave Sammy some index cards that have pictures on them of Cleaning/Organizing supplies. If you are interested in donating to the Cleaning/Organizing basket please choose one of those cards and donate that item. I will assemble the basket and it will be from the Scouts. If you know of anyone who can donate prizes, gift certificates, services, etc. please ask them. Justin will have donation letters with him at every meeting or I can bring them to your house.
