SJDXA members,

The next SJDXA meeting is THIS Wednesday evening at 7:30 PM.

I am planning to go to the site early since I will have a big pile of
“stuff” to bring. Probably around 6PM but I am having some work done to my
truck, so I am not certain yet on the exact time.

I WILL post an update on the SJDXA List.

Our project for Wednesday will be to open mail. About 1 ½ trays.

Also, we will be packing up work packs of K1N QSLs for home processing.

As of right now, we have 4 teams:

Sub-Manager N2OO

Processing managers for N2OO:

W2OB, N4XAT, W2ARP, KZ2I

Sub-Manager W2CCW

Processing managers for W2CCW:

WU2E

K2RIY

K2JLW

Sub-Manager K2RET

Processing managers for K2RET:

KC4RN

K2SZ

N2OZ

Sub-Manager WS2C (ex W2USF)

Processing managers for WS2C:

KI4KWR

KA2NBB

W2RDM

If any other SJDXA members would like to be processing managers, let me know
ASAP and we will assign you to a Sub-Manager and divide the load. If anyone
listed above can’t be available, let me know ASAP so we can reassign.
Thanks!

Phase 1:

Sub-Managers will have all necessary supplies, including QSL’s, postage,
envelopes, stuffers, return address stamps, etc. Each processing manager
will be given a supply of these items, and if you run out, contact your
sub-manager to re-supply. Processing managers will be given around 3-5 OQRS
direct label batches. Each batch should have about 150 unique callsigns and
associated QSO and address labels (as we have done before). (For DX and USA
addresses)

While the “processing managers are working on their label batches and QSLs,
the Sub-Managers (N2OO, K2RET, W2CCW and WS2C) will each have a tub of
“direct received mail” to process in DXM (DXM is the name of our server
based logging program). They will carefully do log processing, and print
batches for processing later.

Phase 2:

Once all Processing Managers have completed their batches and have
everything ready to mail, they will hold the mail until N2OO or the assigned
Sub-Manager gives the word to “put them into the mail”. Our goal is to TRY
to mail all at one time the first time we do a mailing (exception is a small
batch going out to some advance donors who gave $100 +. That KZ2I is
handling now). After these are mailed, then further “batch” distributions
FROM the Sub-Managers will be made of the direct mail batches, and any
further OQRS direct batches as necessary.

Phase 3:

Wrap up as much as we can. By now, we SHOULD be relatively current. Will
assign as necessary.

VERY IMPORTANT:

IF FOR ANY REASON YOU CANNOT GET YOUR BATCH DONE IN A TIMELY MANNER, LET
YOUR SUB-MANAGER KNOW ASAP SO WE CAN ALL WORK TOGETHER TO GET YOUR BATCHES
OFF-LOADED TO ANOTHER TEAM MEMBER WHO HAS TIME TO HELP.

Any questions? Drop me an email, or come to the meeting.

See ya’ in the Pileups!

Bob Schenck, N2OO

Chief Pilot & QSL Manager, K1N – Navassa DXpedition
