2016 W2QW Hamfest

Status: June 18, 2016 Event Date

1. ARRL

a. Our Hamfest has been sanctioned by the league, entered on their 
listing, and we are awaiting a hamfest package of ARRL Material and door 
prizes. 

2. Assignments

a.	All major assignments need to be addressed.

b.	We need the most help during parking, guest vendor setup, club table 
setup and VE Exam setup. Don’t forget breakdown. 

3. Card Checking

a. Peter Dougherty needs to be invited to check DXCC.WAS and VUCC

Cards 

4. Club Table

a. Members with items to sell should have them labeled or

tagged and complete the forms to show asking price, etc. 

5. Door Prizes

a.	W2UDT hopefully will purchase the door prize at Dayton the main door 
prize winner does not have to be present for any drawing.

b.	Bill organizes  the ARRL door prizes and other prizes he has 
accumulated. 

6. Electric/ PA System

a.	KC2OOP, Kenny will supply the generator power and a couple of tables.

b.	A 4 speaker PA system has been configured to be installed 60’ west of 
the club table mounted 30’ up on a light post. Kenny set this up last 
year and it worked very well. 

7. Flyer

a. The Hamfest Flyer has been has been printed by Kenny KC2OOPwidely and 
needs to be distributed to scheduled Hamfest

venues.

b.	North Jersey Hamfest – Succasunna, NJ April 16, 2016

c.	Ocean Monmouth Amateur Radio Club Tailgate Hamfest May 7, 2016, Wall 
Township

d.	Garden State ARA HYamfest Tinton Falls, NK-May 15, 2016

e.	BARA Spring Hamfest- Township of Washington, nj May, 28, 2016

f.	Long Island Outdoor Hamfest & Electronic Fair-Fishkill, NY June 5, 
2016

g.	Mt. Beacon Early Summer Fest- Mt. Beacon ARC

h.	OTHERS (Please let Drew or Rich know if a Hamfest you visit should be 
on the list). 

8. Food Concession

a.	WA2F has approached a vendor named Danny Bessasparis who owns and 
operates Danny’s Food Catering servicesout of Raritan. Danny has agreed 
to provide the food services for our event..

b.	W2SJW used to provide a case of water for clu8b members in the 
previous years. Scott is no longer a member of RVRC because he has moved 
out of the area. Time Halloran provided water last year. If anyone wants 
to donate water for members during the event please let the Hamfest 
chairmen know


9. Parking/setup

a. We need someone to chair the parking committee. Tim AB2ZK, has 
stepped up to that assignment and will be needing volunteers to hel get 
our sellers and buyers parked. Craig, AC2FE and Bruce, KC2YSF will 
support the setup activities. 

	10.	PBOE

a.	All approvals have been acquired.

b.	Since school is still in session W2PQ will ensure the area is free 
from obstructions. 

	11.	Porta-Johns

a.	Jim KC2ZSP  arranged for service from Johnny-on-the – Spot service 
last year. Need to confirm he will continue to secure the units

b.	Need to ensure someone is available Friday evening to ensure a proper 
drop. 

	12.	Photos: Always looking for someone to photo our event.

a. If one takes any photos please make sure W2OU get a copy of each 
photograph.
 

13.	Projects (None) 

14.	Publicity

a. Members are encouraged to publicize our event at other clubs they 
belong to if possible. Posting on social media sites is also welcomed
.

15.	Raffle Prize ???? 

16.	Results

a. We’ll do a lessons learned discussion after the event. 

17.	Signs: WB2UDC & WB2QIF
 

18.	VE Exam Session: W2LJ will be the lead VE at the Hamfest. Available 
VE’s are requested to contact Larry.

a.	Constructions is still underway on Hoes Lane so sign placement could 
be difficult.

b.	Be creative when placing signs in the construction areas. 

19.	Tables and Chairs 

a.	W2AEW rented 12 tables last year. Is this number still good? Anyone 
with tables and chairs they can bring will help reduce the number we 
have to rent.

b.	The tables are needed for club tables, Guest Vendors and the VE Exam 
area. Marvin will bring a large table for the VE Exam area with some 
chairs.

c.	Additional chairs are needed. Throw one in your vehicle. 

20.	Talk-in

a.	WB2BEW and W3JP are hopefully on this assignment.

b.	We need to be sure 146.625, 442.250 and 146.52 are always monitored. 


21.	Ticket Sales

a.	This is a seasoned group of guys.

b.	Free admission permitted for Gene, K2KJI and Kathy Sauder and their 
helper.

c.	Candidates for the VE Exam cannot be charged to attend the VE 
session.

d.	Any VE that says they are there to work the VE Exam session is also 
permitted to enter free.

e.	The DXCC, WAS, VUCC Card checker is also our guest. 

22.	VE Exams

a.	W2LJ, Larry will be running the exam session

b.	The exams will start at 9:00am and will be located at the South end 
of the parking lot. 

23.	Vendors

a. Our guest Vendors are

ii. Kathy Sauder of Sauder electronics 717-389-6077 (unconfirmed)

	b.I suggest we offer free tables to our sister club K2ETS.
