Still looking for more help with the hamfest planning. Thanks to the folks that have
stepped forward to assist, and I'm hoping this third request will get even more volunteers
to come forward.
Probably the most significant event on the near horizon is the HamCon Colorado ARRL Rocky
Mountain Division convention coming up at the end of this month. The PPRAA will have a
table there, and I'll be bringing the raffle prizes up there with the hope that we can
make a considerable amount of raffle ticket sales.
(BTW, to date we have sold 1,487 raffle tickets, by my count, and we have 8,000 all total
to sell - We'll buy more if we need to, and I hope we need to!)
To sell tickets up in Estes Park, though, is more than a 1 or 2-person job. I have only
heard from maybe a handful of people that have stepped up to volunteer some time to sell
tickets. Although I don't have a schedule of who is going to be selling when, I'm sure
that no one will want to be sitting at our table all day with the vast number of forums,
displays, speakers, and other events going on. The more people we have step up to give
maybe a half hour or so apiece, the more the table will be "open" and we can sell tickets.
So what do you say!!!???
If you can help out with a half hour or more, please let me know ASAP so I can get the
list of volunteers finished.

I'm hoping for at least a dozen people to help sell tickets up at HamCon Colorado!
If you're not going to Estes Park but still want to help out, I have other ways you can
help.
1. I'd like to find all materials that the PPRAA owns related to displays for our club.
Those of you who have been around for a few years might remember that some time in the
past, someone built a tri-fold display, really nice, wood frame, cloth-lined material
suitable for posting items with push-pins. We used to use that at hamfests and some other
club displays. Does anyone know where that display is? Historian? Les - do you have it
or know who does have it?
2. I'd like someone to make up a flyer about our club. Something that can be displayed
or handed out to passers-by, or given to someone that wants to join our club.
3. I'd also like someone to run off some copies of our membership application form so
that either members can renew while they're up in Estes Park or maybe new hams that live
in Colorado Springs can sign up as a member right then and there.
4. I'd like someone to loan a tablecloth that we can use for the table that we'll have up
there. More than likely it'll be something like a 6-foot folding table. If you're not
coming to Estes Park but can loan one, get it to me or someone on the PPRAA board.
5. I'd like our club historian to come up with material that can be added to the club
display up there to make the display look interesting. Les, can you come up with something
in the next couple of weeks? Or ask one of your historian "helpers" to assist with this
task? No "helpers"? Do we have some volunteers to help Les with this "historic" task?
Next on the hamfest horizon is the hamfest itself on July 18, just two months away! I
still need help with volunteers making contacts with vendors. To date, other than Chris
Stark K7YMI volunteering to get out some advertisements to the ARRL and to the other ham
clubs in the area, no one has stepped up to the task of contacting vendors. Last year a
few folks mentioned that we had a poor showing of vendors. Last year we had no one
volunteer to help contact vendors. This year so far we've had no one volunteer to contact
vendors. I'd like to see a turnaround on the number of vendors, so I am asking for
several volunteers to help contact vendors. Granted, we contacted some via flyers at 2 of
the past 3 hamfests in northern Colorado. That may have helped a little, but we can't
assume that they're all anxiously awaiting for July 18 to roll around. Anyone that can
volunteer to help contact vendors, please let me know.
I also need several volunteers to help find door prizes. In the past we've always had
some door prizes to give out on the hour. This year we have no door prizes to date.
Anyone can do this. Actually, EVERYONE can do this. All it takes is contacting some
store or restaurant or hotel and seeing if they have promotional material that they can
give us as door prizes to promote their business as well as make our hamfest more fun. I
would like ONE person to step up as a door prize coordinator that can keep track of who's
collecting door prizes so we know who's doing what. We've had everything from books,
hats, T-shirts or small items from HRO, gift certificates from OEM Parts, to complimentary
dinners at area restaurants to overnight stays at hotels here or even up in Cripple Creek.
Use your imagination - they don't have to be radio-related, but they certainly can be.
I'll provide you with a letter that we've used to identify our club as a 501(c)(3)
nonprofit if businesses want that before making a donation.
John Wishart reported at the May club meeting that we already have some tables booked.
Not very many right now (4 so far), but that is hopefully a good sign since last year we
didn't have any tables booked until the last couple of weeks before the 'fest. Anyone
that wants a table should reserve it now, and tell your friends too!!

January 17 Northern Colorado ARC Swapfest: Dan Scott, his wife Pam, and
I
had a table at the swapfest up in Fort Collins and sold some ticket.
Not a
whole lot, but some. Seems that it might be a little early to be
selling
tickets for a July swapfest in January. We did sell 175 tickets for
$104. I
appreciate Ed Bates WB0YAF and his wife sharing some space with us at
the
swapfest up there!
February 8 Aurora Repeater Assn Swapfest: So far I'm the only one
planning
on going up, so I would really like to have a couple of other people up
there with me. It's not that easy nor practical for one person to do
it.
Who can volunteer to ride up or meet me up there?

We also have one other hamfest coming up on April 4 in Longmont that I
will
need two or three volunteers to help sell tickets. Maybe we can sell
more
tickets with more bodies helping out! Who can volunteer for that one?
Not to mention the HamCon Colorado, aka ARRL Rocky Mountain Division
convention, May 29-31. I'll need several teams of folks to help man out
table at the event. REmember, this is YOUR hamfest, and it's going to
need
YOUR help to be a success. Please sign up at one of these events to
help
sell tickets.
Table sales: It's way early, but we actually have one table reserved!
Vendors: I need a volunteer or two to help contact vendors to try to
sell
tables. We have Miley down in Florence that used to get 10 tables from
us.
I don't even know how he's doing and if he sells at hamfests any more,
but I
need someone to make contact with him and find out!
I need others to go over past table vendor lists and get mailings out to
them or make phone calls!

Dennis Major N0ABC works with the guy who did the food last year, so
he's
volunteered to set up the food sales again.
Dennis Rosas took some tickets from me at the last club meeting to sell,
and
I know he sold some, because one of his work buddies stopped by the
table to
look at our prizes. Thanks, Dennis!

Another area that can use help - hamfest advertising!
So far, only Chris Stark has come forward to help with spreading the
word by
offering to mail out flyers, get our info posted on web sites, sending
e-mails, etc. No way that he can do it all; no way that I can do it all
either.
As I wrote in a previous e-mail to all of you:

The kind of help I'm not worried about at this time is worrying about
getting people to help set up tbles the day before the hamfest. I'm not
worried about getting people to sit at the entrance tables and sell the
entrance tickets.
The kind of help I need now is the people to help with getting raffle
promoted, and with getting tables sold. Looking forward to seeing a
good
sized group of volunteers this year!

Just an update on the hamfest status:
Dennis Major, Doug Nielsen and I attended the hamfest up in Brighton
today
(Aurora Repeater Assn) and sold 375 tickets today bringing in $215. Dan
Scott W0RO and his wife Pam helped with the ticket sales at the January
Northern Colorado ARC hamfest, at which we sold 175 tickets to bring in
$104. Those two events has brought our grand total raffle ticket sales
to
928 for a total of $514.
I will need at least a couple more volunteers to help out at the next
hamfest, the Longmont ARC hamfest at the Boulder Co. Fairgrounds on
April 4.
If you can help out, please let me know immediately so I can start
planning
for that one.
Also, the ARRL division convention is coming up (you know this as the
HamCon
Convention in Estes Park) from May 29 - 31, and I'll need much more than
the
typical 2 or 3 people for that one, since we'll have a table that we'd
like
to have continuously manned during the convention. So I'd like to get
folks
that are willing to sit at the table for hour-long shifts, take as many
as
you'd like, but it's going to be more than just a handful of people.
There
is potential to sell a good amount of tickets, given the quality of the
prizes we have this year. That Icom 756 ProIII is a nice radio that
gets a
lot of good reviews. And of course the two D-STAR radios will also be
quite
an attraction.
I hope you can help for these two remaining major ticket sales
opportunities! Thanks, and let me know as soon as possible.
