[PPRAANet] Hamfest planning meeting - Jun 21

I've scheduled a hamfest planning meeting for June 21 at 10 am at the COS Stetson Hills
Division police station community room (the smaller glass-enclosed room, aka "fishbowl")
at 4110 Tutt Blvd (just east of Barnes & Powers). (Note: If 10 am is too early for a
majority, given it's a Sunday and some folks may have church obligations, I'll try to get
it rescheduled to 1 pm.)
Please try to make it. If you can't and are planning to help, please reply to me so I can
know who will be helping.
Some of the things to be discussed:
Vendors - to date no one has volunteered to contact commercial vendors, so it's hard to
say whether we'll have any vendors other than the ones that have seen our flyers
distributed at the hamfests earlier in the year. So I'm still looking for someone to
contact any commercial vendors.
Chris Stark K7YMI has already contacted other clubs in the state and e-mailed them our
flyer and general information. There is information on the ARRL web site, and a notice
should be appearing in QST.
I believe Dennis Major has the food lined up. The people that did the food last time are
people that Dennis Major knows through work, and he's indicated they'd be willing to cook
up some burgers and brats again this year.
I will need volunteers to work at the entrance table to sell admission tickets as early as
0730. Ideally I'd like to get enough people so that we have at least 2 people taking
admissions, and have enough people scheduled so that folks don't have to work there the
entire time and not get to walk around the hamfest. I'd like to get to have at least 14
people volunteer for this position. Please volunteer!
I will also need people to man our raffle ticket sales and club table. Again I'll want to
have about a dozen people scheduled to work the various timeslots throughout the morning
so that we don't have only a few people covering the tables for the entire time. I want
the people helping out to be able to wander around the hamfest too. Please volunteer!
I'd like to have some extra people to help with table sales on the hamfest morning,
starting at 0600. John can't do it all by himself (or at least it would be MUCH EASIER if
he had help) to handle the sellers coming in all at one time. Please volunteer!!
And we still have raffle tickets to sell in advance of the hamfest. Again, other than the
previous hamfests and HamCon, we've only had maybe a couple of people offer to try to sell
more tickets. We spent a lot of money on our raffle prizes this year, and although
they're great prizes, and someone is going to be a lucky winner, the club will not do well
with it's annual fund-raiser if we don't sell more raffle tickets. Please help out!!
And then there's the door prizes. In the past we'd have people canvassing neighborhood
businesses or places like OEM Parts to ask the businesses to generate door prizes. To
date we have no door prizes to hand out at the hourly ticket drawings. Please volunteer
to help bring in some door prizes.
Forums - In the past we have had a couple of educational forums on topics like satellites,
APRS, ARES, an ARRL forum, D-STAR, fox hunting. To date we have no one out there trying
to recruit forum speakers, so we have no forums scheduled. I'd like to see someone
volunteer to help out with finding some interesting forum topics and maybe line up a
speaker or two.
We'll need a bunch of folks to set up tables on the Friday evening before the hamfest.
That we've usually done around 5 pm or 6 pm.
I won't make the club meeting this coming Wednesday, so if I could have someone volunteer
at the club meeting to pass around a list of volunteers that will sign up for some of
these positions I've mentioned.
So if you can't make the planning meeting, or can't make the club meeting, and want to
volunteer, please let me know by replying to this e-mail (to me, not to the reflector,
please).
Finally, if you or someone you know is interested in organizing the hamfest next year,
please have them contact me or Doug Nielsen as soon as possible. I'm giving a year's
notice that I will be unable to organize it next year.
