Mike:
Thanks for letting me know that you received the W3NO/M log.
It seems to me that there could be better ways of accepting logs and letting
the participants know that the log is received. It could also save some
work for you and the other volunteers. With many of the other state QSO
parties, you e-mail the log and get an instant confirmation back from the
robot that the log was received. No additional summary sheet is required.
That should be the prefered way to submit logs and should not require any
work by the committee until they are ready to judge the contest. To make it
work smoothly, the following can be done:
In the rules, list the categories that should show up in the header. This
will make it easy to sort the entries into the proper categories.
When the robot sends the confirmation that the log is received, include
information about how to send a Paypal donation to help cover expenses.
This frees up the treasurer from having to do anything and the step of
getting the logs to where they need to go. It also does away from having to
have a "logs received" page.
In the rules, mention that a paper log or CD can be mailed as a last resort.
If you would like a confirmation that it was received, include a self
addressed stamped postcard that will be mailed back to you when opened. I
suggest using a real address and not a P.O. box so they can be opened as
soon as they arrive.
If you are looking for a model, VA is able to process their logs and score
the contest in a matter of weeks. OH and MI take longer but their writeup
is nicer, in my opinion.
Hope this helps. I'm sure others will also have suggestions to streamline
the process and make your work easier.
