Carroll county amateur radio club hamfest committee minutes


The Hamfest committee met at the Fire Training Center on July 24, 2002.

President Beckman called the meeting to order at 1936, members present 
were Steve N3SB,
Frank K3MTT, Jerry N3GQK, Clint W3ARS, Bryan AA3XZ and Joe N3YIM.

Joe, N3YIM, stated that Bill, N3WM had contacted him and asks that he 
relay to the committee that the same Caterer has agreed to serve food at 
the Hamfest.

The committee needs to set a time line for planning and organizing the 
Hamfest;

1) We have to create a vendor database; we will start to gather vendor 
addresses at every Hamfest we attend from now until we start planning 
the 2003 Hamfest, starting this weekend at the BRATS Hamfest.
2) Committees to accomplish tasks associated with the Hamfest need to be 
established well in advance for planning purposes, those would include 
but are not limited to; advanced sale of tables, contacting vendors, 
distribution of flyers, preparation of mailings, set-up/tear down, 
ticket sales at the gate, clean-up, manning club table to just name a few.
3) Notify dealers and vendors early spring, follow-up early fall, and 
call one month before the Hamfest.

Several ideas were discussed to increase attendance and generate 
interest in the Hamfest, Steve, N3SB, showed a 4x6 inch card for mailing 
to individuals or clubs, one feature of the card would be a special 
prize for those who attend and place the card in the prize drum.

Try to acquire lecturers or demonstrations by experts in their fields 
pertaining to Ham radio.

Conduct a foxhunt or scavenger hunt at the Hamfest with a prize or 
prizes for the winners.

Declare the Hamfest as a PVRC meeting, to draw PVRC'ers to the event.

There was a lot of discussion about more members need to be involved in 
the Hamfest planning and execution. Many members have ideas and 
expertise that would benefit our Hamfest but do not come forward to 
offer them. This is our biggest money maker of the year and we need all 
the help we can get.

Pres Beckman stated, "There will be several more meetings prior to the 
Hamfest".

There being no further business meeting adjourned at 2210.
