Here's the text from our Board meeting last night - if

CCARC Board Meeting 01/24/02

8:00pm � 9:50pm 

In attendance:  K4CGY, N3YIM, AK3Z, N3SB, N3WM, W3ARS,
and Travers Devine

1.  Travers Devine PASSED his Technician exam!!!!

2.	Our Treasury
a.	Bill Mellema gave his report
b.	Bill ordered all of the missing bank statements and
has  reconciled our books to within $10.00!  Good
work, Bill.  Bill is also inspecting a list of checks
which have never cleared.
c.	We got our audit letter from Dan Dutter.  He
inspected our books, and told us that they were
basically ok,  however we need more written
documentation for both written checks and deposited
funds. � He mentioned that we were missing some bank
statements (which Bill has subsequently replaced)  Dan
also recommended that we keep our checkbook reconciled
� which Bill Mellema just completed.

d.	Bill described the two voucher check system that
leaves us with a written trail of ALL checks written. 
Bill also displayed the quicken books, which have
details, and I mean DETAILS, for all deposits.
e.	Bill described the separate folders he keeps for
each vendor we have recurring charges with
f.	Check subs are always stapled with each vendor�s
invoice that we pay.
g.	We (CCARC) did not file our fiscal year 2000 State
of Maryland Form COF-85; however we DID file for 2001.
 Bill is in the process of taking care of this.  There
is a possible $275 fine related to this, however we�re
hoping to negotiate this to ZERO.
h.	Bill talked about the need for a few control
operators;  k3mtt, n3wm, wx3f, n3yim, n3un are the
officials.  If any illegal repeater behavior is
noticed, please contact one of these individuals 

3.	Elections
a.	Coming up in March!
b.	We talked about nominations for different executive
posts, and the need for the Nomination Committee. 
We�re hoping Tony Krauth will help us out in this
area.
c.	We had general conversation about different people
running for different offices, and the fact that the
board positions are up for voting again.

4.	Field Day
a.	To be discussed later�we do need a field day
Chairman!
 

5.	Hamfest
a.	The only URGENT business related to the hamfest is
to 1) Validate the fact that we have a reservation
with the Ag Center, and 2) Print up enough flyers with
a contact person�s name and the date on it, so we can
take it to upcoming hamfests this year and ADVERTISE.
b.	The hamfest is passionately seeking a chairman for
this year�s event.
6.	Possible CCARC programs � I�ve left a name out if
I�m not sure the desired person would volunteer
a.	Using CT a logging program with radio control and
integrated packet � Steve Beckman
b.	John Chesley � Antenna Presentation
c.	Bob Heil � A Long shot � but perhaps we could get
him to present his �science of audio� for us.  I�ve
asked him about it.
d.	AMSAT/OSCAR presentation.  
e.	WB8YYY on building and operating QRP equipment
f.	Packet Radio Usage and architecture
g.	RTTY communications � we all know who�s going to
talk about THIS!
h.	K3LP � Dxpeditioning review of successes
i.	Steve Beckman & John Chesley & Jim Nitzberg �
Dayton Ohio Hamvention Review
j.	K3HT � An 8 receive site repeater system with Wide
Area Coverage
k.	W3LPL � A Review (with pictures!) of his
Multi-Multi station and efforts
l.	K4ZDH � the return of Riley Hollingsworth
m.	Show & Tell Night #2:  interested members bring in
a neat piece of gear for a 2 minute explanation � and
of course we�ll play with the equipment after the
roundtable.
7.	Membership & other thoughts
a.	Our membership list is complete � all non-renewed
members have been deleted from the list.
b.	John has plans to reproduce the old membership card
and membership handbook.  John will update the guide
and distribute it.  John requests minimal funding � to
be reimbursed by the board as he incurs expenses.
c.	John is volunteering to maintain a swap page on our
web site � one that would hope for a donation or so
for each listing.
d.	Joe Ebaugh talked about reviving a newsletter � he
is willing to be responsible for producing a quarterly
newsletter!  Thanks, Joe.

8.	Christmas dinner
a.	Date:  December 8th; 5-8pm at Boulevard & Beyond. 
This is the new name for Wilhelms.  Price is going up
$2/member.  Joe is running this event again � thank
you very much, Joe!
 

9.	The board discussed Clint�s suggestion to give free
6 month memberships to our club upon taking our class,
passing an exam, and becoming a NEW ham.  The board�s
reaction was favorable, if we can work out the
details, however we decided to think about it and
decide next month.  The funds for this program (which
would likely be under $75/year) would come out of the
Education Committee or the Board of Directors budget.
