The board specifically understood and discussed your situation and a few others as well. We did discuss providing on-line access to the meeting but there are two issues there. One is a reliable internet connection. Most hotels have horrible internet service for streaming unless you pay big $$$ for a good connection in the meeting room. The second is people electing not to attend in person and attend virtually. If we plan and book for 50 people then 20 of those decide at the last minute to stay home and attend virtually, we’ve lost money as we would have committed to the higher number for meeting space, catering, etc. Plus, do you charge the same registration fee for virtual attendees as you would for an in-person attendee? Also, the high profile folks we target to bring in as our special guest won’t come in for 20 in-person attendees, its close with the number we currently have.

 

It is not easy to accommodate everyone and it is complicated. The board spent five days, off and on, discussing this. We will look into a virtual option but that is another level of administrative detail, planning, and complexity to add on top of an already overloaded amount of work to plan and execute an annual conference that just a few people in ADXA will volunteer to take on.

 

But we’ll see………………….

I agree that Springdale and ALETA are a great decision. I've never been closer to NW Arkansas than Harrison.  Springdale is 3.5 hours from Searcy, and I would like to take the time to visit the area someday; however, I won't be able to make it this year due to caregiving challenges.  What are the chances that the meeting could be Zoomed?

Greetings ADXA Folks,

 

Our 3rd Quarterly Meeting of 2025 will be held September 20 at 1:00 PM via Zoom. John, WB5BHS, will announce the program once it is finalized. I have a business trip that week and may be traveling back during that time, my schedule is not yet firm. If so, the most capable ADXA VP Pat, W5VY, will ramrod the show! The Zoom meeting link will be sent later.

 

The ADXA Annual Meeting & Conference will be held November 8. I have mentioned many, many times that selecting a location for our meetings, especially the annual meeting, is a difficult and complicated process. We are a very active, statewide group and meeting locations, to be fair and accommodating to everyone, is a challenge. The Russellville area is convenient but the meeting facilities are not very accommodating. Russellville also adds a level of complexity when a special guest travels in by air. Little Rock and northwest Arkansas have great facilities but comes with travel complications for our members a long distance from those areas.

 

This year we received an invitation from our northwest Arkansas members to host the meeting in Springdale at the Arkansas Law Enforcement Training Academy (ALETA). This is an impressive facility and the monthly meeting location of the Bella Vista Radio Club (BVRC, that has over 300 members!). The facility has a very large, modern meeting room with excellent audio visual equipment, comfortable seating, and an additional large room is available for our noon meal. It is located only 10 minutes from the Holiday Inn-Springdale (and several other adjacent hotels) for those who would plan to spend the night before or after. The ALETA facility is offered to us rent free, thus affording a reduced registration fee for our conference. I have presented a program for BVRC twice and can personally recommend the facility.

 

The ADXA board discussed this at great length, understanding that any location comes with challenges to some of our members. Following our discussion we agreed to hold our 2025 annual meeting in Springdale, and the 2026 annual meeting in Little Rock.

 

Specific details on the program, speakers, and special guest will be forthcoming. In the meantime, I hope to possibly see you, on the computer screen, on September 20.
