Thanks to everyone who attended yesterday's meeting in Hot Springs and
to Pat, W5VY for the arranging the meeting location. We had excellent
attendance and it was great to see members from all over Arkansas make
the trip Hot Springs. Rick, AI5P, was there and it was good to have Dave
and Libby Jacques able to make the meeting also.
We had a very productive discussion regarding the topics contained in
the email I sent out on Friday. There was a lot of great input. Here is
a brief summary:
1. DXPedition Funding - Currently our policy is that a DXPedition must
be in the top 50 most needed to be considered. The request is reviewed
by the Executive Committee and a recommendation is presented to the
members for vote on that recommendation at the next in-person meeting.
If the location falls outside of this criteria a recommendation for
funding may be presented on a case by case basis if the situation
warrants.
Currently, ClubLog statistics are used to identify the most needed
ranking of a location however that does not necessarily rank our ADXA
member's needs. We discussed establishing a database, based on input
from our members, that contains the DXCC entities they need and use this
data in addition to ClubLog data in determining a recommendation. J,
N5LKE and Pat, W5VY volunteered (were volunteered??) to investigate this
matter and report at our next meeting.
When a request is sent to ADXA it is normally sent to myself, as
President, or one of the other officers or to all of us. The EC is
notified however discussion does not take place until the EC gets
together just prior to the start of the meeting. Going forward, when a
request is received we will notify the membership via email on this
reflector so you will be aware of pending requests. The EC will then
review the request prior to the meeting and present a recommendation for
vote during the business meeting.
On this topic, we had received one request for funding from the T30GC
Western Kiribati group. This location currently ranks 68 worldwide
however it is #105 in North America. Based on this data the Executive
Committee did not recommend funding. This recommendation was unanimously
approved during the meeting.
2. Meetings, date and location - In my Friday email I brought up the
topic of meetings. During our discussion the general consensus was to
retain four meetings per year however we should review the current
meeting dates to avoid conflicts. There was unanimous consent that the
March meeting date to coincide with the Russellville hamfest has proven
to be an excellent time and location and should be retained. There was
general support to move the annual meeting date, currently set for the
first Saturday in December, to possibly the second weekend in November
to avoid the complication of scheduling a venue due to Christmas events
and a major radio contest. The current September date seems to work fine
however there was interest in working around the current June meeting
date. One suggestion I received after the meeting presented the idea of
holding an ADXA picnic/cookout in July. This has some potential.
Regarding meeting location, the general comments suggested hosting the
annual meeting somewhere in central Arkansas within a 50 mile radius of
Little Rock and rotate the June/September meeting between locations,
possible meeting in the central Arkansas area on, say, even numbered
years and in northwest Arkansas in odd numbered years. The suggestion
has merit.
I want to strongly emphasize these are all just discussion items right
now, absolutely nothing is being proposed however if something has merit
after we continue to discuss this over the next 5 months I would like to
take action at our annual meeting.
I want to again thank everyone for attending the meeting. I didn't get
the total attendance number however I believe it was around 20 ADXA
members and guests and I appreciate those who drove a good distance to
attend.
The September meeting will be held somewhere in central Arkansas and the
annual meeting is currently being reviewed for a northwest Arkansas
location. I look forward to seeing everyone at both.
