[ADXA] September 17th ADXA meeting at Little Rock Hamfest

Hi Joel,

A big thanks to Ken Blevins for working with Mark Barnhart to encourage a joint ADXA meeting at the site of the Little Rock Hamfest on September 17th.  Ken also set up a facility review yesterday.

Ken, Mark, Garth Hill, Facilities Manager at Catholic High School, spent some time to review how the facilities there at Catholic High School is planned to be used for the Hamfest and how it could accomodate our club for it's September quarterly meeting.

The facility is quite large and parking is around the church as well as across the street surrounding an office complex. 

The Hamfest is mainly held in the large gymnasium with an undoor flea market and vendors.

Next to the gym is a large cafeteria where food will be served during the event.  Folks are encouraged to eat in the gym at the tables provided.

Two rooms are available for our use and we need to get back to Mark and Garth with our specific desires.

Right next to the main entrance of the facility, there is a classroom that can comfortably hold about 50 people. More chairs can be added. This room is also used as a chapel and there is an small covered portable alter stored out of the way in the rear of the room. We've been asked to to not used this or disturb it. This room has the advantage that it is available from the very start of the Hamfest and can be dedicated to our club's use. It is also a great place to catch the eyer of Hamfest guests since it is so close to where everyone enters. We could have a nice ad/schedule board right outside the entrance to the room. Here are a couple photos taken in this room. The one on the left was taken from the entrance to the room. The other was taken from the front of the room.  This room is also used as a chapel and there is an covered portable alter stored in the rear of the room which should not be used or disturbed.




The other facility is at the extreme end of the facility, past the cafeteria. It can accomodate 100+ people. It is not available until 11am on Saturday because this is where VE exams will be given. Here are a couple of pictures of this room.



The School has a portable screen that can be employed if we have anything to project.  I can ask the HSVARC club for the use of their PC driven Projector if needed. I also have several Dxpedition movies that I can play if that would be of interest.

To get maximum mutual benefit of this joint endeavor we should consider the following:

1. DXCC card checking (with ADXA membership app or free to anyone)
2. DXepdition movies
3. DXing presentations
4. DXing and club related handouts
5. Signage at entrance of meeting room

We need to select the room and let them know soon. While I can help with several items as I have listed above, I can't coordinate the room selection. I would appreciate your finding someone to the lead for this coordination and decision making.
